Data Collection and Storage

Personal Data

Matomo (Piwik)

Our websites use Matomo (formerly Piwik), an open-source software which statistically evaluates our website usage. Matomo uses cookies. Information produced by a cookie about how our website is used is stored only on the servers of the GHIL. The user IP address is abridged and in this way anonymized immediately after it is processed and before it is stored. Users can prevent cookies being installed by adjusting their browser settings.

Storage of IP Address; Use of JavaScript and Cookies

IP Address

Our website cannot be accessed unless your IP address is registered. The IP address is the computer’s unique, globally valid identifier. As a rule, you as a private user do not have a permanent IP address, as your provider allocates you a temporary IP address when you access a website. However, it is still theoretically possible to track user data to a specific user via an IP address. Our web servers and firewalls store the time of access, the IP address (unabridged), the file path used to access the site, and/or the site and the browser agent, to analyse potential attacks on our website and where applicable, disable them. We store this information for one month. Data that we identify in connection with an attack will be stored for as long as necessary.

Cookies

We use cookies (small text files with information about visits to our site, which are temporarily stored on your hard drive). These are disabled at the end of each session. They are necessary to enable full website functionality.

JavaScript

JavaScript is a programme that extends website functionality and can collect personal data. We do not use JavaScripts to capture personal data.

Fingerprinting

Fingerprinting is a technology used to identify users by evaluating technical data (e.g. installed software versions, fonts, etc.). We do not use fingerprinting on our website.

Low Level Data Usage; Right to Object to the Use of Cookies and JavaScript

We only use session cookies. To object to the use of cookies or any other technologies, please refer to the information provided by your browser manufacturer on how to turn off JavaScript and disable cookies (this can be found, for example, in your Internet browser Help menu or on the corresponding website). Alternatively, we recommend you get in touch with your browser provider if you need further help and instructions.

Integrated Service Provider and Third Party Content

Third-party content and content from processors who process data on behalf of the GHIL may appear on this website (whereby these service providers stand in a contractual relationship with the GHIL and any personal data collected by them as a result of this contractual relationship may be used only for the purposes for which they have been employed by the GHIL). Such content may include, but is not limited to, videos, maps, RSS feeds, social media messages, and images or graphics from other websites. Where this is the case, service providers of such content must capture the IP address of the user accessing the website, as without the IP address they would be unable to send the content to the user’s browser. The user’s IP address is therefore necessary in order for this content to be shown. We make every effort to use only content from providers who use the IP address solely for the purpose of sending content. However, we do not have any influence over further activity of the third-party provider in relation to the IP address, e.g. whether they store this for statistical purposes. If we have any information on this point, we will pass this information on to our users.

Images and Videos

Photographic images or videos of individuals will only be published with their consent or where they are persons of historical or public interest. We do not have to obtain consent for the publication of photographs or videos of public events where the focus is not on individuals.

Contacting Us

Where a user establishes contact with us by email, the user’s details will be stored for the purpose of resolving their query and in case questions relating to the original query arise in the future.

Data Collected for the Purposes of Sending out our Newsletter

Our Newsletter is provided via the platform Brevo (formerly sendinblue). You can find their data policy here. If you subscribe to our Newsletter, you do so by filling in an online form on our website. We do not store your data or pass it on to any platforms other than Sendinblue, nor do we use it for any other purposes. We may collect information that indicates if you open the Newsletter or click on links in that email. You can revoke your registration and subscription to the Newsletter at any time via the unsubscribe link in the Newsletter, via the website, or by email.

Data Collected in Connection with Other Personalized Services

If you subscribe to any of our other services, you do so by filling in an online form on our website. We store any data necessary for us to provide this service to you. This usually means your email address, surname and first name, and, depending on the type of product or service, your address details. If we want to process additional data about you, we must first obtain your consent. We use these data solely for the purpose of providing the requested service to you and to be able to answer any associated questions. We do not pass your data to third parties or use it for any other purposes. You can revoke your registration and subscription to other personalized services at any time by email.

Data Collection in Connection with our Library Services

When you sign up to use our library, we ask you to provide your name, address, email address and mobile number. We use this information solely to provide our library services to you. We do not share your data with any third parties.

Any optional information you may provide is collected, stored, and processed anonymously. We use this information solely to improve our library services.

You may revoke your library membership at any time by returning your library card to the GHIL.
 

Collecting Data in Relationship to Applications for Jobs, Internships, or Scholarships

You cannot submit application data to our website. To find out what specific data protection regulations apply to data collected as part of a job, internship, or scholarship application, please refer to the details given in the relevant advertisement.

Data Transmission

Your personal data will only be transmitted to government organizations and authorities where this is legally required and/or for the purposes of taking action in the case of attacks on our network infrastructure. You have the right to obtain rectification of inaccurate personal data. Where the GHIL has reasonable doubts regarding the request for rectification, it has the right to withhold rectification until the matter is verified.

You have the right to obtain the erasure of your personal data. Where the GHIL has a legal obligation to store the data, we will not erase them. Where the GHIL has reasonable doubts regarding the request to erase the data, we have the right to withhold erasure of the data until the matter is verified.

Right to Restrict Processing

You have the right to obtain restriction of the processing, where you contest the accuracy of the data (until this can be verified), where the processing is unlawful, where you require the data to establish a legal claim (once the purpose for which the data were processed no longer applies) and/or where you object pursuant to GDPR Art. 21. This does not apply where the GHIL has compelling legitimate grounds for the processing.
